Privacy

This is a birthday party, not a data business. Here’s what I collect, why I need it and what happens to it afterwards.

What I collect when you apply

Your first name, surname, email address, age, roughly where you’re travelling from, whether you’re coming on your own or with someone, your LinkedIn profile if you have one, your answers to the application questions and how you heard about the party.

If you say you’re coming with someone, I’ll also ask for their name and whether they’ve already applied, so I can match your applications up. They’ll still need to apply separately, and each person has their own ticket.

If you don’t have LinkedIn, we can have a short video call instead. You can also ask for a quick call simply because you’d like to say hello before the party.

I don’t ask for your phone number, dietary or allergy information, accessibility requirements or emergency contact at this stage, because there’s no reason for me to hold that information about someone who isn’t attending.

If you’re invited

If your application is approved, I’ll use your email address to send you an invitation and a secure way to pay for your ticket.

Once your place is confirmed, I’ll ask for any dietary requirements, allergies, accessibility requirements or anything else that would make the evening easier for you.

I’ll also ask for an emergency contact’s name, relationship to you and phone number.

The emergency contact is for welfare or emergency use connected with the party only. It is never shown to other guests or used for anything else.

Payments and tickets

Card payments are handled by Stripe. I never see or store your full card details.

I keep the information I need to manage your booking, such as the amount paid, payment status, payment reference and whether a payment has been refunded.

Once your place is confirmed, you’ll receive a unique QR code for the party. When you arrive, it is used to check that your ticket is valid and record that you’ve arrived.

Who can see it

Me. That’s the honest answer.

People helping me run the party only see what they need for their role. Someone helping on the door, for example, can see your name, whether your ticket is valid and whether you’ve already checked in. They can’t see your application, LinkedIn profile, emergency contact, payment information or my private notes.

I also use services to run the website, send emails and process payments. They only receive the information needed to provide those services.

How long I keep it

Declined applications are deleted once all places have been allocated.

LinkedIn/identity verification information and emergency contacts are deleted shortly after the party.

Booking and payment records are kept for as long as I need them for administration, accounting or legal purposes.

Your information is not used to sign you up to a mailing list or future events.

Getting in touch

If you’re attending, you’ll receive my contact details with the party information.

If you’d like to ask about the information I hold about you, correct something or ask me to delete information I no longer need, you can contact me using the details provided.
